Preparing for Milestones

Milestones

These are the general guidelines regarding school milestones and deciding on paper submission deadlines.

School milestones (PhD RPE, Proposal, defense; M.S. defense; Undergrad Honors thesis)

The decision to go for a milestone should be discussed and finalized with Primal a quarter prior to the preferred milestone date.

When discussing going for the milestone, the following are the expectations for the graduate students. Any exemptions to these baseline expectations will have to be discussed with Primal early on. Undergrad students are not expected to submit a paper unless they are working with a graduate student.

For M.S. milestone

  • The paper has been submitted to a conference.

For PhD milestones, the expectation is the following:

  • RPE: Paper based on the research to be presented has been submitted to a conference
  • Proposal (at least 1 year before the final defense): 1 paper (based on RPE) previously accepted. Paper based on the research to be presented during proposal presentation accepted.
  • Final defense: 2 papers previously accepted. Final paper submitted/accepted.

The full draft of the document (e.g., RPE paper, thesis) should be delivered to Primal at least one month in advance of the defense.

Department requirement: The draft of the thesis must be delivered to the committee at least two weeks in advance of defense.

Department requirement: Students must send their abstract and other required information at least two weeks in advance of the defense to the CS Graduate Advisor (gccs@pdx.edu).

The presentation associated with the milestone should be scheduled no week later than one week prior to the final week (Week 10). This should be done in-person. This is to avoid scheduling anything in the finals week when committee members may not be available. This means sending the full draft to Primal no later than week 6 and committee members week 8 respectively.

If any of these requirements aren’t met, the defense will have to be postponed to the next quarter. The student will be responsible for enrolling in necessary credits in the next quarter to complete the milestone.

At most 2 DIPr lab students can go for their milestones in the same quarter. This is to ensure that Primal has sufficient time to help each student in preparing their thesis, reviewing drafts, forming the committee, and preparing the presentation.

Paper deadlines

During the first meeting of the quarter, check with Primal the following details of the paper submission plan. To get the most out of this meeting, share prior to it, the first draft of Introduction, Related Work, and Problem statement.

  • Conference venue, date of submission, and progress markers/milestones
  • Missing 3 of the progress markers would result in having to replan the submission for the next quarter.
  • The full draft of the paper should be shared with the collaborators at least 2 weeks before the submission deadline.
